Exercise



Conquering Overwhelm

The following a simple exercise for you to use the next time you need a re-entry strategy or for times when you simply have to slow down and conquer overwhelm.

Step 1: Write out a list of all the things you need to get accomplished. Take your time; make sure you get it all down on paper, both work-related and personal tasks.

Step 2: Divide all of your tasks into one of 3 buckets:

  1. High priority – long-term
  2. High priority – short term
  3. Lower priority tasks

Step 3: Review your list of long-term priorities. Since these tend to require multiple steps to complete, break each task down into a list of do-able steps and activities with timeframes for completion. No step is too small. Even something as simple as 'Get Mike's contact information' is a necessary action and moves you forward.

Step 4: Now look at all of the short-term priorities you listed. Review each task and ask yourself:

  1. What deadlines and promises do I need to clarify or re-negotiateand with whom?
  2. What tasks or parts of tasks can I delegate to someone else?
  3. What tasks that, if they just don't get done, really won't impact my success?
  4. What tasks do I need to focus on right away?

Step 5: Allocate a specific amount of time each day to work on those tasks that need to get done right away. If you get stuck, take a short walk around the building and then come back to the work. When you've completed one task, move onto the next one, and so on. Create a visual way of measuring your progress. You might post the list on a bulletin board and put big, red checkmarks next to completed tasks.

Step 6: Identify ways that you will reward yourself when you complete a key task or set of tasks. Have you had your eye on a new pair of boots? A show? Treat yourself when you complete key milestones.

Step 7: Quickly review lower priority tasks and go through a similar process – can any of these tasks be delegated? If not, evaluate the impact of just not doing them at all. If the consequences are low, then let them sit until you have time to tackle them.
